Important Notice. Your billing data, invoices, quotations, reports and generated documents are retained for up to 3 days after subscription expiry. After this period, your data may be permanently deleted. Download your records before expiry.
1. What Data We Retain
TAP Revenue OS stores the following business data on your behalf in your secure Firestore workspace:
- Client records and contact information
- Invoices (including line items, tax details, payment status)
- Quotations and proposals
- Retainer records (Business plan)
- Expense records
- Revenue and P&L data
- Business settings (name, GSTIN, UPI, tax preferences)
- Team member access records (Business plan)
- Session and login logs (for security)
2. Retention Schedule
The following timeline applies from the date your subscription expires or is cancelled:
Day 0 — Expiry
Subscription expires. Access to the app is suspended. Data remains intact. Reminder email sent.
Day 1–3 — Grace Period
Data is retained. You may renew your subscription at any time to restore full access and keep all your data.
Day 3 — Deletion Notice
Final reminder email sent. Data deletion is scheduled.
After Day 3
All workspace data (clients, invoices, quotations, proposals, settings) may be permanently and irreversibly deleted from our servers.
Warning: Deleted data cannot be recovered. There are no exceptions to this policy after the 3-day window. Please ensure you download your records before expiry.
3. Reminder Emails
We send automated reminder emails to your registered email address at the following intervals:
- 7 days before expiry — Renew reminder
- 3 days before expiry — Urgent renew reminder + download prompt
- On expiry day — Access suspended notice + last chance to renew
- Before deletion — Final warning (Day 3)
It is your responsibility to ensure your registered email address is active and to act on these reminders. TAP Revenue OS is not liable for data loss resulting from missed reminders or failure to renew.
4. How to Export Your Data Before Expiry
We strongly recommend exporting all your data before your subscription expires:
- PDF Invoices: Open each invoice → View → Generate PDF
- Excel Export: Invoices tab → Export Excel (exports all invoices with line items)
- Full Backup: Settings → Account → Download Backup (downloads complete JSON backup)
- Proposals / Quotations: Open each document → Generate PDF
5. Data Security During Retention
During the retention period, your data remains protected by:
- Firebase Authentication and Firestore Security Rules
- User-level data isolation (your data is only accessible to your account)
- HTTPS-only connections
- Server-side access controls
6. Login and Session Logs
Login logs (email, timestamp, device type) are retained for up to 90 days for security and fraud prevention purposes, irrespective of subscription status. These logs are not shared with third parties.
7. Account Deletion
You may permanently delete your account at any time via Settings → Account → Delete Account. Account deletion is immediate and irreversible — all workspace data, settings, and entitlements are permanently removed.
